VAUGHAN

Staffing agency for Vaughan employers

Project admins, order desk and dispatch staff, bookkeepers and reception for Vaughan employers, searched and screened from our Brampton office up Highway 7.

Staffira is a Brampton staffing agency that finds office staff for Vaughan employers: project and site admins, order desk and dispatch coordinators, bookkeepers, receptionists and customer service reps. You describe the role on a short call, we search and screen, and you interview a small group of people who fit it.

Our office is at 181 Queen St E in Brampton. Follow Queen Street east and it becomes Highway 7 at the Vaughan line, so Concord, Woodbridge and the Vaughan Metropolitan Centre are usually 25 to 35 minutes away by car. We don't have a Vaughan office. We meet most Vaughan clients by video call and visit your yard, showroom or office when seeing the work in person helps the search.

Who hires in Vaughan, and what they need

A lot of Vaughan's work happens around Highways 400, 407 and 7. Concord and the area around the CN rail yard hold builders, building supply firms, cabinet and millwork shops, food and furniture distributors and trucking yards. Woodbridge and Maple have family-run companies that grew from one truck or one crew into firms with an office to staff. The towers going up at the Vaughan Metropolitan Centre bring a newer mix of professional offices, property managers and head offices.

The common thread is the office behind the operation. A contractor with twenty people in the field still needs someone to chase permits, book inspections, track deliveries and invoice on time. A distributor needs an order desk that answers the phone at 7 a.m. Those are the roles we fill.

Roles we fill for Vaughan employers

  • Construction and trades office staff: project coordinators, site and permit admins, estimating assistants, office managers
  • Distribution and logistics desks: order entry, inside sales support, dispatch and shipping coordinators, customer service
  • Finance support: bookkeepers, AP and AR clerks, payroll and billing assistants, collections
  • Front office for VMC and Highway 7 offices: receptionists, admin and executive assistants, office coordinators
  • Remote staff for Vaughan owners who want help with the books or the inbox without adding a desk

We don't recruit licensed trades, general labourers, drivers or warehouse floor staff. If your opening is one of those, we will tell you on the first call so you can go straight to a specialist.

Hiring your first real office person

Many Vaughan companies we speak with have run the office through the owner, a spouse or a relative for years. Then the business grows, the paperwork piles up and the first outside hire becomes urgent. That hire is hard to get right because nobody has written the job down before.

So we start there. On the call we list what actually lands on the desk each week: quotes, supplier bills, change orders, WSIB clearances, payroll hours, customer calls. That list becomes the job brief, and it shows whether you need one strong all-rounder or two narrower roles. Candidates then see the real job before they apply, which cuts down on people quitting after a month.

Busy seasons and the commute

Construction and building supply work in Ontario peaks from spring to late fall. If you want someone trained before the busy months, the search should start in winter, not in April when every office is hiring at once. We plan the timeline with you on the first call and say honestly how long a role like yours tends to take.

Commuting matters here too. Many Vaughan workplaces are easiest to reach by car, and some industrial streets in Concord are a long walk from the nearest bus stop. Office roles near the Vaughan Metropolitan Centre are different, because Line 1 of the TTC subway ends there and York Region's Viva buses run along Highway 7. We check how each candidate will get to you before you meet them. Plenty of people in our network live in Brampton, Bolton and northwest Toronto, which makes a Vaughan job a short drive for them.

Ontario hiring rules in short

If you employ 25 or more people, Ontario's newer rules apply to your job postings. Since 1 January 2026, public postings must show the expected pay or pay range, say whether the vacancy is real, disclose AI used to screen applicants and not ask for Canadian experience, and interviewed candidates must hear back within 45 days. We write our briefs with that in mind. Your lawyer or HR advisor has the final word on your postings and contracts.

How a Vaughan search runs

  1. A 15-minute hiring call. The role, the pay range, the hours, the start date and how the person will get to work.
  2. A written brief. Built from your real weekly tasks. You approve it before we approach anyone.
  3. Sourcing. Our candidate network, job boards and referrals across Peel, York Region and northwest Toronto.
  4. Screening against the work. The software you use, the pace of your phones and how each person handles a contractor, supplier or customer who needs an answer now.
  5. Your shortlist. A few people with plain notes on each. You interview and decide, and we help with the offer and check in after the first weeks.

Why a Brampton agency for a Vaughan role

We are close enough to visit and small enough that one person runs your search from the first call to the first week on the job. We also hire for employers in Toronto, Mississauga, Caledon, Brampton and the rest of Ontario, and for U.S. teams. See all the areas we serve.
